Guided setup

Stand up a new organisation step by step — company details, properties, units, people, billing rules, opening balances and payment channels — then go live.

Testing → Onboarding → /onboarding Beta

Guided setup walks a new organisation from an empty account to an operating one. It asks for what the platform needs in the order it needs it, checks whether you are ready, and then switches the account on.

How it works

The setup takes about twenty minutes. You do not have to do it in one sitting, and you do not have to do it in order:

  • Your work saves as you go. Every step saves a few moments after you stop typing, and the header tells you when it last saved.
  • You can come back. Returning to /onboarding puts you back on the step you left.
  • You can jump about. Every step in the left-hand list is clickable, and each one shows whether it is done, skipped, blocked or still needs attention.

The steps

  1. Welcome

What the setup covers. Nothing to fill in.

  2. Company

Your legal name — the only required field — plus trading name, KRA PIN, email, phone and address.

  3. Setup method

How you want to load your data. See below.

  4. Properties

One row per property: name, an optional short code, and location. You need at least one.

  5. Units

Add units in ranges rather than one at a time — type A101-A120 and the step shows you exactly which twenty units that creates before you commit. Adding an overlapping range does not duplicate anything.

  6. People

Attach tenants, owners, payers and guarantors to units, with start and end dates. Adding a second person to the same unit adds a role to that tenancy rather than creating a second one. This step can be skipped.

  7. Billing rules

What is charged and how often — name, frequency, the day it falls due, and the first and last charge dates.

  8. Opening balances

What each tenancy and account owed on the day you started. Choose the account, say what it is (rent arrears, deposit held, overpayment, rent paid in advance, owner balance), and enter the debit or credit. Trust and operating totals must each balance on their own before you can post. If you are starting fresh, say so and skip it.

  9. Payment channels

How rent arrives — M-Pesa paybill or till, bank account, or cash. You need the provider, the account name, the number, and the reference tenants quote. At least one is required.

  10. Review

A readiness score and a checklist showing what is done, what is still to do, and what is blocking. Anything unresolved is listed with a link straight to the step that fixes it.

  11. Go live

Available once the checks pass. Your workspace opens on the dashboard from then on, and billing and reminders start running on your schedule. Setup stays available if you need to come back.

Choosing a setup method

MethodWhat it means
Guided setupWork through each step here. Best if your data is to hand.
Upload a spreadsheetFill in a template and have it validated row by row. Best if you already track this in Excel.
Have us help you migrateOur team loads your properties, units and balances with you. Best for larger portfolios.

Things to resolve

As you go, the setup raises findings — things that will stop you going live, or that are worth knowing about. Each step shows the most urgent one, and the Review step lists them all. For each, you can jump to the step that fixes it, snooze it for a week, or mark it as not an issue. Snoozed findings come back on their own.

Common problems

SymptomCause
The menu shows Onboarding but the page bounces me to the dashboardThe page requires an administrator role, which the menu entry does not currently check for.
I cannot add unitsNo property has been saved yet. Add one first.
Opening balances will not postTrust and operating must each balance on their own. Check both totals.
Continue to go-live is greyed outSomething on the readiness checklist is still blocking. The list says which.
